Does your agency communicate effectively with prospects and clients?

Template based sites are a great and inexpensive way to get started quickly. The main layout elements are already in place and ready to go. It also provides you with a professionally designed website at a fraction of the cost. Below are some common questions and myths about template based websites.

Be concise and to the point in your emails.
Try to avoid long sentences. Make the email personal by addressing the recipient by name.

Think about it for a second and use a meaningful subject.
Not only does a good subject clue the reader in on the priority of the email, it also allows for easy retrieval later on. Do NOT use a blank subject.

Do not write in CAPITALS - also called SHOUTING!
Too many people leave the CAPS lock on while they type emails. Nothing distracts from the content and tone of the message email more than upper case.

Answer all questions, and pre-empt further questions
Try to answer the questions posed. Even if you don't have an answer yet, say that you will get back on that particular point. Do not leave it in mid air.

Use proper spelling, grammar & punctuation
Yes, spell checks help. But, they sometimes miss the obvious. So, read your email carefully before you send it. This can prevent misunderstandings and embarrassment.

Answer swiftly
In the early days of email, it was fine to respond in 2-3 business days. This has changed, however. Too often people use email instead of the telephone. This puts all of us in an awkward position. The way to deal with this is to respond to the email as soon as you get it. If you cannot answer immediately, respond with "I will get back to you in x days". Be finite with the expectation setting and follow through.

Do not attach unnecessary files
Especially large files such as images or videos. These large files consume precious resources on your side as well as on the recipient's environment. Send web site URL's instead, if possible.

Don't leave out the message thread
Common mistake that people make. If you leave out the previous message/s, you make it very hard to follow the thread of conversation. Many people erroneously think that they are saving space and resources by not including the message thread.

Add disclaimers to your emails
Very important. Besides protecting you from liability in some cases, there are numerous advantages of a disclaimer.

Do not overuse Reply to All
Don't we all hate it when we get unnecessary emails? Happens too often - someone announces to the staff group (staff@company.com) that they are going to have a new baby. Within minutes, staffers start congratulating the sender, but include staff@company.com in the send to list. As a result, theirs could be hundreds of unwanted and non-productive messages in mailboxes.

Use the Carbon Copy (cc:) field sparingly
Also, do not copy someone on an email, if you expect them to respond to your email. Most people that are carbon copied, read the email as an FYI (For Your Information), and won't bother to respond.

  • Don't send or forward emails containing libelous, defamatory, offensive, racist or obscene remarks
